Microsoft 365 business pricing in 2026: every plan and what a team pays
These are US list prices from Microsoft's business plans page, checked on November 1, 2026, before tax. Microsoft bills each user, on an annual subscription that renews by itself. It offers a monthly commitment too, but the pricing page lists only the annual price, so this page does not guess the monthly one.
Short answer
Microsoft 365 business plans cost $7 per user a month for Business Basic, $23.50 for Business Standard with Copilot and $32 for Business Premium with Copilot, in US dollars on an annual subscription. Email only is $4 a user with Exchange Online (Plan 1). Ten people on Business Basic pay $840 a year.
Microsoft 365 business price per plan
Microsoft 365 Business Basic costs $7 per user a month, Business Standard with Copilot $23.50 and Business Premium with Copilot $32, on an annual subscription in US dollars. That is $84, $282 and $384 per user a year. Each plan also comes without Teams, for $5.40, $20.30 and $28.80.[1]
Microsoft now sells Business Standard and Business Premium to new customers with Copilot built in. Apps for business, at $10, gives the desktop Office apps without Teams. Annual and monthly billing
- Annual commitment, paid monthly: you sign up for a year and pay each month.
- Annual commitment, paid up front: you pay the whole year at once.
- Monthly commitment: you pay month to month and can cancel at any time. Microsoft's page does not list this price.
Business Basic, Standard, Premium and Apps for business have a one-month free trial, and you need a credit card to start it. When the trial ends, the subscription turns into a paid one at the term you chose.[1]
Storage and seat limits
- Users: every business plan is capped at 300 users. Above that, Microsoft points you to its enterprise plans.
- Mailbox: 100 GB per user on Basic and Standard, with a 50 GB archive. Premium keeps 100 GB and raises the archive to 1.5 TB.
- Files: 1 TB of OneDrive per user on Basic, Standard, Premium and Apps for business.
- Devices: Standard and Premium install the desktop apps on up to 5 PCs or Macs, 5 tablets and 5 phones per user. Basic has web and mobile apps only.
- Exchange Online (Plan 1) holds 50 GB per mailbox with a 50 GB archive. Plan 2 holds 100 GB.
Add-ons and what they cost
- Microsoft 365 Copilot Business: $21 per user a month, paid yearly, for existing customers on an eligible Business plan. From July 1 to December 31, 2026, it is $18 for the first year.
- Teams Phone Standard: $10 per user a month, paid yearly, to make and take phone calls in Teams.
- Defender for Business: $3 per user a month, paid yearly. It is included in Business Premium.
- Extra storage: bought ahead or billed as you use it. Microsoft's page gives no price for it.
Copilot Chat, an AI chat with web results, comes with every business plan at no extra cost. It does not read your files or email. Copilot inside Word, Excel, PowerPoint, Outlook and Teams needs a plan with Copilot or the add-on.[1]
What each plan leaves out
- Business Basic: no desktop Office apps and no Copilot inside the apps.
- Business Standard with Copilot: no Defender for Business and none of Premium's device management.
- Business Premium with Copilot: the full business set. Plans for more than 300 users are enterprise plans.
- Apps for business: its plan card lists no Exchange email and no Teams.
- Exchange Online plans: email, calendar and contacts only, with no Office apps, no OneDrive and no Teams.
- The versions without Teams: no chat, calls or meetings in Teams.

- Business Standard: $12.50 to $14.00 (12%).
- Business Premium: unchanged at $22.00.

Worked example: a year for 3 and 10 people
Microsoft bills every person who signs in, so the yearly cost is the price per user times the team times 12.Sources[1]Microsoft 365 Business pricing[2]Microsoft: compare Exchange Online plans
- 3 people: Exchange Online (Plan 1) $144 a year. Business Basic $252. Business Standard with Copilot $846. Business Premium with Copilot $1,152.
- 10 people: Exchange Online (Plan 1) $480 a year. Business Basic $840. Business Standard with Copilot $2,820. Business Premium with Copilot $3,840.
Adding the Copilot Business add-on to Business Basic for 10 people costs another $2,520 a year at the full price.[1]
Microsoft 365 compared with Shipmail
Microsoft 365 is a suite: you pay per user for Word, Excel, Teams and OneDrive as well as email. If your team only needs email on its domain and a calendar, an email host costs less. If it works in Office files every day, Microsoft 365 is the right purchase.[1]
Shipmail prices the plan, not the person. Solo is $4 a month for 2 mailboxes and one person, Pro $9 for 4 mailboxes and up to 5 people, and Team $29 for 12 mailboxes and unlimited people. Annual billing costs 10 times the monthly price. Each mailbox holds 15 GB on Solo and Pro and 25 GB on Team.[4]
- 3 people on Shipmail Pro: $9 a month, $90 a year on annual billing.
- 10 people on Shipmail Team: $29 a month, $290 a year on annual billing.
- The same teams on Business Basic: $252 and $840 a year.
Each Shipmail plan includes a team inbox for addresses like support@ with assignment and internal notes, booking pages, and an AI assistant in beta that drafts replies. Shipmail has no documents, spreadsheets, file storage or video meetings, and its mailboxes are smaller than Microsoft's 100 GB.Sources[4]Shipmail pricing[5]Shipmail shared inbox documentation[6]Shipmail booking pages documentation[7]Shipmail Assistant documentation
