Manage client email
Create one organization per client. On Solo, your client uses a mailbox password. If they need to see several mailboxes together on the web, or need their own account, use Pro.

Create the organization
Open the account and organization menu at the bottom of the navigation rail, choose New organization and enter your client's name. You are its Owner, so you can do everything in it.Choose who pays
Open Billing. Choose I pay to pick a plan with your card. Or choose My client pays to send your client a link. They become the Owner and choose Pro or higher, and you stay as an Admin with All mailboxes. Wait for Shipmail's email before you continue.Add the domain and mailboxes
Follow the domain steps, create the mailboxes and share the passwords with your client.Switch between clients
Use the same menu. Shipmail reloads with that client's mailboxes and settings.
Choose the plan
The plan depends on how many mailboxes your client has and how they read them.
| Client | Plan | Access | What your client sees |
|---|---|---|---|
| 1 mailbox | Solo | You are the Owner. Your client signs in with the mailbox password. | Their mailbox |
| 2 mailboxes, and a mail app is fine | Solo | You are the Owner. Your client signs in with each mailbox password. | One mailbox at a time on the web, or all of them in a mail app |
| 2 mailboxes, seen together on the web | Pro | You and your client each have a team account. | A combined inbox |
| 3 or more mailboxes | Pro for up to 4 mailboxes (10 with add-ons), Team for up to 12, Scale for 13 or more | You and your client each have a team account. | A combined inbox |
The paid plan limits are:
- Solo: 2 mailboxes, 1 team account.
- Pro: 4 mailboxes, 5 team accounts.
- Team: 12 mailboxes, unlimited team accounts.
During a trial, Solo allows 2 mailboxes, and Pro and Team allow 3. End the trial in Billing and pay now to use your plan's full limits.
On Pro or higher, if you pay, stay the Owner and invite your client in Team as a Member with All mailboxes. If your client pays, they are the Owner and you are the Admin. See pricing.
Limits to know
Solo has room for one team account
The Owner holds that one place, and you can't be Owner and Admin at once. If your client owns the organization and you stay as Admin, that makes 2 team accounts, so the plan must be Pro or higher. Shipmail refuses Solo in that case and explains why. A trial on Solo has the same limit.
A mailbox password opens one mailbox
It takes no team place, and it can't reach billing, domains, API keys or other mailboxes. To see several mailboxes together on the web, your client needs a team account.
Choose the right login address
For a new invitation, use an address that Shipmail doesn't already host, such as Gmail or iCloud. To take ownership, your client also needs an address outside this organization's domains. You both need a verified login address outside those domains. An existing login keeps working if its mailbox later moves to Shipmail.
You get one trial
You can start one trial, in one organization. Later organizations you pay for start as paid. My client pays doesn't use your trial. Your client can start a trial if neither they nor their card have used one. Otherwise, the subscription starts as paid.
Wait to change MX records when your client pays
You can't create mailboxes until your client accepts and a plan or trial is active. Mail sent before the mailboxes exist is held for 48 hours, then bounces, so change the MX records after Shipmail emails you that you can create them.
A domain belongs to one organization
You can't add a domain that another organization holds, and you can't move one domain between organizations. Keeping several clients in your own organization works, up to 50 domains, but it gives them one bill and one team, and you can't hand over one client alone. An unsubscribe also applies to the whole organization.
When a contract ends
- If your client is the Owner, they remove you in Team. Nothing else changes.
- If you are the Owner, transfer the organization to your client from Settings, General. You leave or stay as an Admin. On Solo you must leave, because the plan has no room for you both. Your client adds a card before the next invoice, and the transfer can't be undone once they accept.
- If their domain is in your own organization, your client copies their mail to their new provider over IMAP before you delete the mailboxes.
Frequently asked questions
Can my client see all their mailboxes at once?
Yes, with a team account on Pro or higher, where the web inbox has a combined view. On Solo, they can add each mailbox to a mail app such as Apple Mail or Outlook and see them there.
Am I an Admin in an organization I create?
No, you are its Owner, which already lets you do everything. You become an Admin only if your client takes ownership and you stay on.
Can I see all my clients' mail in one place?
No. Each organization is separate, and you switch between them from the menu. An MCP connection approved from your account can cover several organizations for your AI tools.
Is Shipmail white label?
No. Your clients see the Shipmail name when they sign in. You can charge for your setup and support work, but the terms don't allow reselling the service without a written agreement.
