Per-mailbox settings

Some settings belong to the mailbox itself, so they apply to everyone who reads it. Set them from the mailbox menu on the Mailboxes page.

  • Signature. Build a formatted signature with links and an uploaded JPEG, PNG, WebP, or GIF image. Click an image to resize it (Small, Medium, Large, or drag its corner), replace it, or remove it. Switch to HTML when you need a custom layout. A signature with tables or styles opens in HTML; switching it to Visual keeps the text, links and images and drops the layout, and you can restore the original before you save. Shipmail sanitizes the markup, appends it to new emails and replies, adds a separator line, and creates a plain-text fallback. It trims empty padding from uploaded images and resizes them for email. The preview shows the signature on both a light and a dark background, so you can see what a dark-mode reader gets. Add an image description if the logo carries meaning, or leave it empty for a decorative one. Remove signature deletes it, with an undo in the confirmation. Only people who manage the mailbox can edit this shared signature.
  • Each person's name in the shared signature. In the signature editor, click Add person's name. Everyone who writes from the mailbox in the web app or the mobile app gets their own name in its place, so one signature serves the whole team. The preview shows your name. When the mailbox's own login sends, or a person has no name on their account, the mailbox's sender name appears instead. With no sender name either, the name is left out, and so is a line that held only the name. The editor lists the people who have no name on their account.
  • Your own signature. On a mailbox that more than one person reads, each person can sign with their own signature instead of the shared one. While you write from that mailbox, click Sign as yourself next to the signature. Once you have your own, the same place says Edit your signature. People who manage the mailbox also find it in the mailbox settings, under Your signature, below the shared one. The editor starts with a copy of the shared signature, so you only change what is yours, such as your name. Your signature replaces the shared one in everything you send from the mailbox and its aliases, in the web app and the mobile app. Email sent through the API, automations or a mail app keeps the shared signature. If the shared signature changes later, the composer says Review your signature. In the editor, Start again from the shared one opens the new version, and Keep mine keeps yours. Use the shared signature goes back to the shared one. The shared signature’s editor lists who signs with their own.

In a conversation of a mailbox several people read, each message your team sent from Shipmail shows who sent it, such as Sent by Anna. Email sent through the API, automations or a mail app, and email from someone who has left the team, shows no name.

Notifications

Notifications, near the bottom of the dashboard sidebar, collects updates that need your attention, including thread mentions, thread assignments, calendar reminders, and important sending or webhook changes. Its badge shows the number you have not read. Open an item to go to the related conversation, event, domain, or setting. You can also mark one item, or every item, as read from the notification center. Shipmail removes an assignment notification when the thread is assigned to someone else before you open it. Opening the conversation marks it as read.

The center loads your latest notifications first. Choose Load older notificationsto browse earlier items. Mark all as read applies to all of your enabled notifications in the selected organization, including older items. The list refreshes when you open the bell, return to the tab, and once a minute while the tab is visible. If a refresh fails, your last loaded list stays visible and you can retry. Use Notification settingsat the bottom of the center to choose notification types and mailboxes.

Deleting an internal note also removes its mention notifications. Removing someone from a note’s mentions removes their notification, so a later mention can alert them again.

In Settings > Notifications, turn mentions, assignments, reminders, and account alerts on or off. Mailboxes are grouped by domain: use the domain checkbox to enable or disable all its mailboxes, or expand a domain to choose individual mailboxes. The count shows how many are enabled. Account alerts cover billing, domain, and delivery issues across your account.

Your choices apply immediately to the notification list and unread count. Switching a type or mailbox off hides its notifications; switching it back on restores any history still available. These settings are personal to you in the selected organization.

The mailbox list is shared between the web and the Shipmail mobile app. A mailbox you switch off here also stops new-mail alerts on your phone, and a mailbox you switch on in the app shows here too.

Desktop notifications

Desktop notifications alert you on a computer or phone when new mail arrives, even when Shipmail is closed. In Settings > Notifications, choose Turn on under Desktop notifications and allow notifications when your browser asks. The setting applies to that browser only, so turn it on in each browser you use. Choose Turn off to stop them there.

  • They work in Chrome, Edge, Firefox and Safari on a computer, and on Android.
  • On iPhone and iPad, open Shipmail in Safari, add it to your Home Screen, open it from there, then turn desktop notifications on.
  • If you blocked notifications for Shipmail, allow them again in your browser settings, then choose Turn on.

A browser receives the same alerts as the Shipmail mobile app: new mail in the mailboxes switched on above, and the notification types you have switched on. Click a notification to open the conversation. Signing out of Shipmail in a browser stops its notifications.

Keyboard shortcuts

Shortcuts work when you are viewing the list or a thread, not while typing in a field. Press ? anywhere in the dashboard, or choose Keyboard shortcuts from the account menu or from Docs and help, to open the full list without leaving the page.
